TMS Hiring Manager Start-Up Guide

View your applicant documents on SOLAR

 

During the following process, refer to the list of applicants your recruiter pulled for you.  If you see names on SOLAR that are not on your recruiter’s list, go with the names on your recruiter’s list.  Until we perfect this tool, there may be a few more names showing on SOLAR than on your recruiter’s list.  Those few additional names will not have the skill sets you need.

 

  1. Go to www.odotjobs.com (SOLAR website).
  2. In the left menu column of the home page click on “Hiring Manager’s Login
  3. Enter your User Name and Password into the Login Box.  If you don't know your login information, click on the red "forgot password" link. 
    1.  A box will open asking for your email address.  Enter your ODOT email address into that box.
    2.  Go to your ODOT MS Outlook email inbox.  There will be an email from SOLAR with your user name and password.
    3. Enter your User name and Password into the Login Box. 
  4. The ODOT Job Manager page will open.  In the top row of round radio buttons click on the TMS button.
    • The page now changes to the TMS view.
  5. In the #box on the second row, enter the posting number of the job for which you are hiring (You don’t need to enter OCDT, just the number.):
    • OCDT3530
    • OCDT3550
    • OCDT5377
    • OCDT5378
    • OCDT5379
    • OCDT5380
  6. The Geo Code box:  On their ODOT application applicants select locations in which they are available to work.  The locations you select in this box will call up applicants who selected those locations on their ODOT application forms. 

·         Select multiple locations by holding the control key down as you left click with the mouse.

 

  1. The Skill Code box:  On their ODOT application applicants indicate their skills, driver’s license and work availability information.  This box contains codes for all the ODOT skills, driver’s license and availability information.  See the Skill Code Definition Sheet at the end of these instructions.  ((Note:  This feature in SOLAR is not currently working, so for now select “All Skill Codes”, the top choice.  You may end up with a few more names than are on the list your recruiter pulled for you.  Only consider the names of those on the list your recruiter pulled for you.  The other applicants will not have the skill sets you need.))
  2. Select the Applicant Date Range.  Some regions have agreed to pull a 12-month standing list.  Others have agreed to pull a six-month standing list.  Go with your region’s current policy.
  3. Click on the “Apply” button.  The applicants will be listed below the Job Posting # and Title that appears.
  4. Clicking on the applicant name causes the application to appear.

·         You need not use the check boxes in the “Top” and “Pre” columns.  These are just for keeping a tally as you review applications, and may not be a suitable tool for standing list recruitments.

 

  1. Clicking on the little notebook icon in the “supp” column causes the supplemental questions and skills list to appear for each applicant who applied on line.

·         For applicants who applied after 12/1/2006 the supplemental questions and skills list will be on the application form itself.  You can see when an applicant applied by looking at the date in the “submitted” column. 

·         If there is a time to the right of the date, the applicant applied on line. 

·         If there is not a time to the right of the date, the applicant applied by mail and you will need to get the full hard copy application from your recruiter if you wish to view it.

 

  1. Symbols in the far right column: 

·         M” –Manual Submission;

·         E” –No email address;

·         U”—Underfill candidate; 

·         V” Applicant selected vet points;

·         5/10 Number of vet points verified by recruiter;

·         T” Transfer Applicant.

 

  1. To print a single application: 

·         Check the box to the furthermost left of the applicant’s name.

·         Scroll to the bottom of the page and click on the print button.

Note:  If the application form on your printout has the right margin cut off, here is the fix:

  1. With your Internet Explorer open (the web page showing the SOLAR website), click on the 'File' drop-down menu in the upper left.
  2. Select 'Page Set-up' from the drop-down.
  3. Adjust the left and right margins to 0.25 inches.
  4. Click 'OK'

  1. To batch print applications: 

·         Click on the button entitled “Select all applicants appearing below”.

·         Scroll to the bottom of the page and select the print button.

 

  1. To print resumes, cover letters, and additional information (the paper clip icons):

·         Click on the paper clip to open the attachment.

·         Select “Print” from the file drop-down. 

·         A quicker method is to right click on the paper clip and select “Print Target”. 

·         Only the highlighted paper clip icons have attachments.

 

Following the above procedure will enable you to see the application documents of the applicants on the list your recruiter pulls for you.
